we may be able to get a food vendor like a small coffee shop or the like who has a catering lic to vend, saving us a bucket of headaches on that end.

One other thing we should do is to make sure we have a old PC set up to get prospects interests and collect data on how they have heard about us?
Now after watching only part of the video from the EFF Lawyer, I would also suggest we make note that this data will only be kept for x amount of days, but I think it would be good to have a survey of what our visitors are looking for.
Also we should make sure we have a good supply of business cards, or a printed fact-sheet a that they can walk away with. As well as maybe a screen to allow them to sign up for the BBS, or RSS feeds on site?
Even those folks who are not sure now, once they see what we are doing, may come around if we keep them in the loop.

i like that idea. we also need a "membership form" and "member agreement"
we really have to gather things like emergency contact and email and phone
for the poll sorta thing that can even be a 1/4 sheet flyer to turn in for one raffle ticket... unless we're collecting personal data there's no reason to destroy it, and we kinda need to keep member data.
i'd say we want to know age, gender, household income, zip code, job and hobbies.

While I guess to me gender is not needed, I would like to refine it to add skills (IE woodworking, steam engines, or ceramics) and Interests.
Either way, I have a old laptop somewhere here that if I can find the power brick, we could set up to enter that info to help with that type of survey.
We could set Firefox into Kiosk mode and just collect the info? Just a thought...
